02

Personal data collected

The website may collect information that you voluntarily provide through a form or email: first name, last name, email address, profile, organization, role, message, contact request, deck request, beta registration, newsletter registration, demonstration request or a Web request to delete a Pulse account.

Technical data strictly necessary for website operation, security and collection traceability may also be processed, such as form origin page, request source, referrer, user agent or server logs.

The public website must not be used to collect sensitive data or operational crisis data until Pulse contractual documents and application privacy policy are published.

Verifying and processing Web requests to delete a Pulse account when the person no longer has access to the app.

Managing requests for investor deck access, partner conversations, insurer and local-government exchanges, and Pulse interest.

Managing pilot programs, B2G contact requests and conversations with interested local governments.

Sending Ward & Raven updates only where the person has consented.

Ensuring security, maintenance and improvement of the website.

05

Recipients

Data is intended for the Ward & Raven team and, where necessary, technical service providers acting on Ward & Raven's behalf.

Ward & Raven does not sell personal data collected through the public website and does not transfer it to third parties for commercial purposes.

06

Retention periods

Data linked to contact requests is kept for the time necessary to process the request, then archived or deleted according to applicable obligations.

For a Web request to delete a Pulse account, complete emails, any attachments and verification messages are deleted 30 days after the request is closed.

A minimal record of the request is kept in a restricted-access intermediate archive for 5 years after closure, then deleted. It contains only the request identifier, receipt, verification and closure dates, outcome, version of the process applied, and pseudonymized HMAC values for the email address or account identifier. It contains no plain-text email address, message body, attachment or Pulse data.

Data collected for pilot programs is kept for a maximum of 24 months.

Newsletter registrations are kept until consent is withdrawn or the person unsubscribes.

07

Ward & Raven also takes into account applicable Canadian privacy laws, including Quebec Law 25 where relevant.
